We all know the struggles of undercharging, projects that seem to drag on forever, and those communication gaps that make us redo things. But don’t worry! By implementing a streamlined client onboarding process, you can minimize project timelines, easily delegate tasks, and charge more for an elevated client experience where everyone knows exactly what to expect. It's a win-win situation! And since I implemented this in my business I went from charging $50 for a web design project which is insanely embarrassing, to charging $4k (or more).

Client onboarding is crucial for several reasons. Firstly, it sets the tone for your entire relationship with the client. By starting off on the right foot, you establish trust, credibility, and professionalism. Secondly, it helps you understand the client's needs, goals, and expectations, allowing you to tailor your services accordingly. And finally, a solid onboarding process ensures that you have all the necessary information and resources to deliver exceptional results.



So what exactly is a client onboarding process?


In simple terms, it's a series of steps and actions you take to seamlessly welcome and integrate a new client into your business. Think of it as rolling out the red carpet for your dream clients, making them feel valued and excited to work with you.


Now, let's discuss what makes a good client onboarding process 


Firstly, it should be well-structured and organized, leaving no room for confusion or misunderstandings. Clear communication is key! Secondly, it should be personalized to each client, showing that you understand their unique needs and are committed to delivering a tailored experience. And finally, a good onboarding process should be efficient, saving you time and energy while ensuring a smooth transition from lead to client.


The ultimate client onboarding checklist 

These are crucial steps that will transform your onboarding process and set you up for success:


1. Initial consultation and discovery: 

Get to know your client's needs, goals, and expectations.This phase is more than just a conversation; it's a personalized exploration. Dive deep into their aspirations, challenges, and vision for the project. Uncover their vision and the results they expect after working with you. This is your opportunity to build a strong foundation, establishing trust and positioning yourself as an authority. As you navigate this initial consultation, you're not just gathering information; you're laying the groundwork for a partnership built on mutual understanding and shared goals. The insights gained here will serve as the milestones for guiding the entire project or they can also help you close the sale.


2. Proposal and contract:

Provide a detailed proposal and have a solid contract in place to protect both parties.This isn't just a document; it's a roadmap that navigates the entire project journey. Transparency is key—ensure that every aspect is clearly defined to manage expectations effectively. Define the terms, responsibilities, and a secure framework that fosters a trusting and professional relationship. A well-crafted proposal and contract signify more than just an agreement; they represent a commitment to a seamless and mutually beneficial collaboration


3. Client welcome package: 

Create a personalized welcome package that includes essential information, FAQs, and any necessary forms. Craft a personalized guide that not only outlines essential project details but also anticipates and answers frequently asked questions. Consider including forms or questionnaires that help gather crucial insights, ensuring a smoother transition from introduction to action. 4. Onboarding call or kick-off meeting: 

Schedule a call or meeting to introduce yourself, explain the process, and answer any questions. Use this opportunity to go beyond the paperwork and provide a human touch to the onboarding process. This part of my process in particular is what gives me a ton of referrals. I have hade multiple clients rave about me with their friends and instantly recommend me to someone else literally the day after my onboarding meeting, or before I even finish their own website project.


5. Project timeline and milestones: 

Clearly outline the project timeline and set realistic milestones to keep everyone on track. As you collaboratively set realistic milestones, ensure they align with your client's goals and aspirations. By having a visual representation of the project's evolution, both you and your client gain a shared understanding of the progress. This strategic planning not only keeps everyone on track but also infuses confidence in your client about the structured and organized approach you bring to their project. My way of navigating this is with a client to-do document and checklist.


6. Collaboration tools and communication channels: 

Establish the tools and channels you'll use to collaborate and communicate throughout the project. Choose platforms that make collaboration easy for your client. Whether it's project management software, communication apps, or dedicated spaces for file sharing, set up a cohesive system that keeps everyone connected. Clarify the purpose of each tool, emphasizing their role in enhancing productivity and maintaining transparent communication. But remember that you don’t want to overwhelm your clients, the simpler this part is the better your process will be. Please do not overcomplicate this step or force a client to learn a tool if they are not tech-savvy.


7. Content and assets collection: 

Clearly outline what content or assets you need from the client and set deadlines for their submission. Create a comprehensive list of materials you need from the client, such as text, images, or specific documents. Communicate the importance of adhering to the deadlines to ensure a smooth workflow and prevent any delays in the project timeline. 


8. Regular check-ins and progress updates: 

Schedule regular check-ins to provide updates, address any concerns, and ensure alignment.


9. Review and feedback process: 

Establish a system for gathering client feedback and implementing revisions. In my case this looks like sending them a deliverable with clear instructions and action points I need feedback on.


10. Project completion and offboarding: 

Celebrate the successful completion of the project and provide any necessary post-project support or resources.
